About the role
Note: This is a fictional training role created as part of a PERSONA platform onboarding demonstration and is a practice vacancy, not a live hiring request. We are seeking a graduate or early-career professional to join as an entry-level (L1) Junior Business Operations Coordinator, reporting directly to the Operations Manager with no direct reports. The primary purpose of this role is to support a small business operations team by coordinating service requests, maintaining reliable records, preparing simple status updates, and escalating exceptions promptly. Day-to-day responsibilities include maintaining accurate service requests, client notes, and follow-up actions within the business operations tracker. You will also coordinate routine meetings, document requests, and status updates across internal teams while responding professionally to routine internal enquiries. Additionally, the successful candidate will prepare a simple weekly operational dashboard using approved spreadsheet templates, thoroughly checking all information for errors before sharing. A vital aspect of the role involves identifying missing information, scheduling conflicts, and process exceptions, and promptly notifying the supervisor or asking for support when a decision exceeds delegated authority. Throughout all tasks, you must handle customer and employee information strictly in line with confidentiality and access rules, such as refusing to send client contact details over unapproved personal messaging apps even if a request is urgent. Ultimately, success in this position will be measured by your accurate service and action logs, clear weekly progress updates, timely and respectful stakeholder communication, and appropriate escalation of problems and policy exceptions.

- Strong organizational skills to coordinate routine meetings, document requests, and status updates across internal teams while meeting deadlines.
- Attention to detail with a proven ability to check data and information for errors, missing details, or scheduling conflicts before sharing.
- Clear and professional written and verbal communication skills for responding to routine internal enquiries and providing timely updates.
- Strict adherence to data confidentiality and access rules when handling sensitive customer and employee information.
- Sound judgment to recognize process exceptions and escalate matters outside of delegated authority to a supervisor.
Desirable skills
- Prior internship, academic project, or entry-level administrative experience supporting a small business operations team.
- Familiarity with task management or business operations tracking software.
- Demonstrated ability to rapidly learn new software systems and operational workflows.
- Track record of responding constructively to supervisor feedback and applying it to improve daily task accuracy.
- Experience following established data privacy procedures and declining requests to use unapproved communication channels.
